Grain Accounting / Customer Service Representative

Job Summary:
The Grain Accountant/Customer Service Representative accurately processes grain transactions and provides exceptional customer service. Key duties include:
Duties/Responsibilities:
- Keep accurate and up-to-date financial records for grain activities by recording and reconciling grain purchases, sales, and inventory transactions.
- Follow accounting standards and internal controls to prepare and complete grain purchase settlements, issue grain advances, verify lienholders and update FSA loans.
- Process customer payments, truck tickets, settlements, and freight payments.
- Enter and settle direct shipment tickets and truck sales while verifying discounts.
- Manage grain contracts and deferred payment contracts including distributing, verifying signatures, preparing year-end summaries, and settling payments.
- Settle sales bushels, input barge data, notify about delays, and approve freight payments.
- Process ACH settlements.
- Assist with reconciling inventory.
- Process accounts payable, accurately monitor sales tax, and assist with gathering yearly 1099 information.
- Ensure WI customers defer pay contracts have the necessary information.
- Prepare and provide information for warehouse inspections and financial audits.
Customer Service and Merchandising:
- Communicate grain bids to customers based on posted bids and help update daily bids.
- Provide courteous and efficient customer service through phone, email, and in-person interactions.
- Answer customers’ questions about grain transactions, pricing, and deliveries.
- Proactively contact customers with past due unsigned contracts, addendums, and defer pay contracts to ensure timely completion and proper documentation.
- Assist customers in placing and processing firm offers and provide regular follow-up while keeping detailed records.
- Update customer information by adding new customers, making necessary changes, and managing mailing lists for newsletters and grain meetings.
Office and Safety Administration:
- Keep the customer service area clean and organized.
- Help with general office duties and keep the office and break room supplies stocked.
- Manage incoming and outgoing mail.
- Assist with safety and operational documentation by updating repair and maintenance files, updating and documenting SDS (Material Safety Data) sheets, keeping Certificate of Insurance files for contractors and truckers current, and updating materials and tests for safety meetings and training.
Education and Experience:
- Must have accounting and customer service experience.
- Proficient in accounting software and Microsoft Office Suite (Excel, Word, Outlook) and willing to learn other systems.
- Knowledge of grain accounting or agricultural operations is helpful, along with knowledge of grain grading and quality standards.
Required Skills and Abilities:
- Excellent communication and customer service skills.
- Attention to detail, multitasking, and prioritization skills are essential.
- Ability to work independently and in a team with minimal supervision.
- Must speak, hear, see, and use hands/fingers to operate a computer and telephone; able to sit or stand for long periods and work in an environment with moderate noise levels.
- Must be over 18 years old and eligible to work in the United States.
- Proficient in reading and speaking English.
